Research Publications Collection (2008 Data)


Background

Each year Swinburne Research collects details of Swinburne University's research publications and other research outputs for the preceding year. The collection serves multiple purposes:

  • To provide data to DEEWR for the Higher Education Research Data Collection (HERDC) that partly determines the University's funding under the Research Training Scheme and the Institutional Grants Scheme.
  • To provide a publicly available record of research activities through Swinburne's Research Bank repository.
  • To provide data on publications for the University's internal funding model.
  • To collect data for the Excellence in Research for Australia (ERA) initiative.

The collection of 2008 publications comprises published research falling into the following categories: Book, Book Chapter, Journal Article, Conference Publication.

Note that foreign language publications are eligible to be counted, provided that they meet all the verification criteria of the publications category against which they are being claimed.


HERDC-eligible publications

HERDC-eligible research publications must meet certain criteria for inclusion in the collection, as specified in the HERDC Specifications. Generally:

  • They must fall into one or more of the following categories: Book; Book Chapter; Journal Article; Conference Publication.
  • The publication must be a research publication and it must be a research output which meets the definition of research.
  • The research must contain a 2008 publication date or 2007 publication date but not have been published until after 30 June 2008 (a letter from the publisher will be considered sufficient verification material to support the claim).
  • The authors must have been staff or students of Swinburne University during the time the research was carried out.
  • The publication must have been formally published, offered for sale, and available for distribution to the wider research community.
  • The publication must have undergone an acceptable peer review process, if a journal article or conference paper.

Note: Foreign language publications and electronic works are eligible to be counted, provided they meet all the verification criteria of the publications category against which they are being claimed.

In general, the following verification materials are required:

Proof of year of publication

Proof of ISSN or ISBN

Proof of publisher

Proof of journal

Proof of author affiliation

Proof of peer review or refereeing (this may be available in 'Instructions to authors' or similar, or as part of the journal policy on the journal's website, rather than within each issue)

Table of contents if available

Copy of title page

Proof of year of publication

Proof of ISBN

Proof of publisher (must be a commercial publisher)

Copy of preface/introduction

Proof of author affiliation

Full copy published chapter

Proof of year of publication

Proof of ISBN

Proof of publisher (must be a commercial publisher)

Copy of title page

Copy of preface/introduction

Proof of author affiliation

The complete contents page/s

Full copy of published paper

Proof of year of publication

ISBN or ISSN if available

Field of Research (FoR) codes are also required for each publication. These are available at this website.

It is important to note that a publication will only be categorised as a HERDC-eligible publication when all verification material is provided, as these publications may be subject to external audit. The University is penalised for incorrect data and this will impact on the funds returned to the University based on its research performance. It is essential, therefore, that all information is provided with the highest level of accuracy. In all cases, the final decision on the category in which the publication belongs and its eligibility will be determined by Swinburne Research.


The Process

Researchers are responsible for providing their designated Faculty (and in some cases, Centre) Publications Coordinator with the required materials. Publications Coordinators (see below) are responsible for collating and submitting accurate data.

Author Requirements

Multiple Swinburne authors:

Where more than one author is listed in the publication as being from Swinburne, only the first of these authors should submit a return, to avoid duplicate submissions. Equal credit will be given to other internal authors.

Affiliation:

If the publication does not include a by-line stating the author's affiliation with Swinburne University of Technology, a statement signed by the author should be provided, attesting that the research leading to the publication was undertaken in the author's capacity as a staff member or student at Swinburne University of Technology. Critical Dates and Lodgement Instructions

For research publications to be included in the HERDC for 2008, the following timetable must be observed:
